Kospa Logistics Ltd, a Myanmar-based provider of cold chain warehousing and logistics services, manages temperature-controlled storage and nationwide distribution for leading restaurant chains such as KFC and other international brands. Operating in a sector where timing, reliability, and visibility are critical, Kospa faced increasing pressure to modernize its systems and streamline operations.
Despite challenging circumstances during the project period, Kospa successfully launched Odoo ERP with Portcities’ support, enabling greater efficiency, transparency, and control over its logistics and warehousing operations.
Challenges Faced
Kospa’s operations involved multiple departments—sales, purchasing, warehouse, administration, and accounting—yet lacked a unified digital system. Processes were fragmented, trip management was manual, and visibility into logistics costs and performance was limited.
Additionally, the company faced major resource challenges, with high staff turnover during the implementation period disrupting project ownership and delaying progress.
Goals of the Implementation
Kospa set out to achieve the following objectives:
- Replace disconnected workflows with a centralized ERP system
- Implement a trip and expense management solution tailored to logistics
- Improve operational efficiency across sales, purchasing, and warehouse management
- Gain real-time visibility into accounting and financial processes
Solutions Implemented
To address Kospa’s operational challenges, Portcities rolled out a full ERP implementation using Odoo 13. The solution are:
- Combined standard modules such as Sales, Purchase, Inventory, and Accounting with industry-specific features designed for logistics providers.
- A custom-built Trip Management application was developed to help Kospa monitor and control logistics activities, while tender management and a series of smaller adjustments were added to ensure the system aligned with their workflows.
Although the project initially included an integration with Abivin for advanced logistics coordination, this scope was later removed due to shifting priorities during implementation.
Despite the change, the ERP still succeeded in centralizing Kospa’s operations across sales, purchasing, administration, warehouse, and accounting departments.
Implementation Timeline
The project began in 2020, with the initial goal of completing within that year. However, several delays arose, largely caused by high employee turnover and the resulting gaps in project ownership.
Even so, by June 2021, Kospa managed to officially go live. With Portcities’ support, internal teams were trained to operate the system, ensuring adoption and continuity despite the setbacks.
Infrastructure and Hosting
For infrastructure, Kospa chose to use its own cloud environment, giving them direct ownership and control over the hosting setup. Portcities’ role was focused on the installation and ERP deployment, leaving day-to-day infrastructure management in the hands of Kospa’s IT team.
Results and Benefits
Through perseverance and adaptation, Kospa was able to roll out Odoo ERP with all critical modules successfully going live. The new system gave the company greater visibility and stronger control over processes in sales, warehouse, and logistics, enabling smoother coordination across its core operations.
A highlight of the implementation was the introduction of the custom-built Trip Management app, which simplified trip and expense handling. What used to be fragmented and manual became more structured and efficient, saving time and reducing errors. Over time, Odoo 13 established itself as Kospa’s main ERP backbone, replacing isolated workflows and providing the company with a unified platform to sustain its business.
*Important note: Due to the political situation and staff departures during implementation, Portcities could not deliver the final go-live as initially planned. However, Kospa's internal team successfully took ownership and completed the deployment.
